The problem before Kissbill
Request reception
Every day, the operations team manually sorts through 15 to 20 emails. Quotation requests are mixed in with follow-ups, reminders, and customs documents. Identifying and prioritizing takes an average of 25 minutes.
Quotation requests are mixed in with follow-ups, reminders, and customs documents. Identifying and prioritizing takes an average of 25 minutes.
> Time-consuming manual sorting.
Data extraction
An operator opens each email, reads the attachments (invoice, packing list, sometimes a scanned PDF), and manually re-enters data into Excel.
> Manual re-entry · Error risk
Rate consultation
The operator opens multiple tabs: airline portal, Excel road rate file, rate confirmation emails.
Consolidation takes 20 to 40 minutes per file.
> Multiple sources · Time wasted
Physical constraint validation
Without a dedicated tool, constraint checking relies on operators' knowledge.
> Cancellations · Risk of errors and omissions
Drafting and sending the quotation
The quotation is manually drafted in a Word or Excel template.
Average leadtime: 4 to 6 hours - often the next day.
> Response delay · Commercial pressure
The process with Kissbill
Automatic email ingestion
Upon reception, Kissbill detects and classifies the quotation request. The case appears directly in the dashboard with an Incomplete or Complete status.
> An action button is displayed based on the status.
NLP* data extraction
The NLP* engine reads the email and attachments and automatically extracts each required fields.
If data is missing, the status switches to Incomplete with an indication of the field to be completed.
Physical constraint validation
Before any rate calculation, the engine verifies the physical coherence of the shipment.
> Incompatible offers are automatically rejected.
Multi-modal calculation and quotation generation
Kissbill queries the carrier via APIs and the historical quotation database for the desired routing.
> > Quotation sent to the client in under 8 minutes after receiving the request.
